E-Invoicing
We set up e-invoicing for you and support you for 180 days after the introduction.
For established businesses that want to introduce additional invoicing software and need support with the configuration and staff training. This offer applies only to companies based in Germany.
Starting point
The problem
Invoices now arrive at businesses as e-invoices. In day-to-day work, depending on the format, these can’t always be opened “just like that”. Digital invoices are also often printed out, and someone then enters the figures a second time. At the end of the month there’s a search, and the tax adviser asks for documents. You’re not alone in this.
“There are files in the inbox that nobody can open.”
Since 1 January 2025, receiving e-invoices has been mandatory for every domestic business; issuing them follows in stages.
Our solution
Beforehand, we talk for 15 to 30 minutes, by phone or video call. In this conversation, we clarify whether the package suits you: whether you need additional invoicing software, how many people are to work with the invoicing software, how many customer records need to be transferred and who writes and books the invoices in your business. This introductory call is free of charge for you.
We then recommend invoicing software to you. You decide which software you want to go ahead with. After that, we support you in configuring your software: templates for quotes and invoices, ledger accounts, incoming and outgoing invoices, the interface to your tax adviser. Then we test everything once with you before the software goes live.
After that, over a period of 180 days, we hold five follow-up sessions with you and check whether the configurations hold or need adjusting. Designed for businesses with up to three people working with the invoicing software, 100 customer records, one outgoing invoice channel and one location.

Every document becomes a clean, standardised data record
The facts
Receiving is mandatory. Issuing follows in two stages.
The receiving obligation has applied since 1 January 2025, the first issuing stage from 1 January 2027.
Every domestic company must be able to receive e-invoices and store them electronically, including VAT-exempt small traders.
For domestic B2B sales of companies with a total turnover of more than €800,000 in the previous year.¹
For all other domestic B2B sales. Permanently exempt, among others: VAT-exempt small traders, small-amount invoices up to €250 and travel tickets.
Method and limitations
Statutory text, not a surveyWhat percentage of companies with 20 or more employees could already receive e-invoices in spring 2024?
In spring 2024, less than half of companies
with 20 or more employees could receive e-invoices: 45 per cent.
Surveyed from mid-April to early June 2024, a good six months before the receiving obligation began, among companies with 20 or more employees; published in December 2024. Bitkom only reports the share of companies able to receive; how the remaining 55 per cent break down has not been published.

Method and limitations
representative of companies with 20 or more employees in GermanyA PDF by email is not an e-invoice.
Among companies with 20 to 99 employees that issue invoices digitally, according to a 2023 Bitkom survey, 52 per cent used a structured invoice format such as EDI, ZUGFeRD or XRechnung. The rest sent digital invoices without a structured data record, for example as PDFs. These are human-readable, but the recipient’s software cannot easily process them automatically.
- ZUGFeRD (from version 2.0.1)
- XRechnung
- EDI (under conditions)
Structured data record in line with the European standard EN 16931, to which § 14 UStG refers. ZUGFeRD not in the MINIMUM and BASIC-WL profiles; EDI only if the information can be transmitted in compliance with EN 16931; on a transitional basis until the end of 2027 also without, provided the recipient consents.
- PDF without data record
- Scan
- Paper
No structured, machine-readable data record.
Method and limitations
Format definition: § 14(1) UStG, § 27(38) UStG, BMF letter of 15 October 2024The obligation is in place and the formats are settled. What needs to be done in your business depends on your individual processes: who issues invoices, who receives them, what your tax adviser needs. We clarify that together with you in the introductory call.
Method and limitations
About the figures: representative surveys on e-invoicing cover companies with 20 or more employees. There are no reliable data for smaller companies. What to expect in our package
Half a day at your business, together with the person who writes your invoices and the person who books them. We look at how your invoices are created today and where they get stuck.
A joint conversation and their written specifications on format, accounts and transfer route. We translate the specifications into the set-up and have your tax adviser confirm it before anything runs. The tax assessment remains with your tax adviser.
Which software suits you depends on your individual needs, your tax adviser’s transfer route and the formats your clients require. We present our recommendation to you in writing. You decide.
Fully configured, with incoming and outgoing invoices. If you already work with particular software or have special requirements, we check in a short call whether we can set it up for you; we then make you an individual quote for it.
One template each for quotes and invoices in ZUGFeRD as the output format – a PDF with embedded data that any recipient can open, including private customers. If a client requires XRechnung, we can optionally set up this route for you.
We configure up to 100 addresses for you within the fixed price; checked, not just copied. For this, the data is backed up separately, used only for the set-up and deleted afterwards. Alternatively, you handle the import yourself; in that case, we prepare templates for you.
Entered according to your tax adviser’s specifications, set up and tested together with them – with test documents before it goes live.
The set-up software plus a guide recorded for your business, with a written transcript. The guide stays with you and also trains everyone who joins later.
First individually, then together, on your devices. After that, your team is ready for the last steps into live operation.
After 30, 60, 90, 120 and 180 days, we hold follow-up sessions with you and discuss what went well and where the team still had difficulties; then we make adjustments for you. The first session takes place at your business; we hold the four further sessions with you by video call.
Who passes which document where – incoming and outgoing, one page each. Plus how your invoicing software works, documented using the examples we worked out with you. The document stays with you.
Within the fixed price, we offer you the configuration of invoicing software. The choice of invoicing software depends on the results of the on-site assessment and the coordination with your tax adviser. ZUGFeRD is set as the output format; we configure XRechnung for you as an alternative if you need it. We set up the interface to your tax adviser according to their specifications and test it together with them. If you already work with particular software or have special requirements, we check in a short call whether we can set it up for you; we then make you an individual quote for it.
Is this package right for you?
For day-to-day work
You do everything yourself: writing invoices, sorting receipts, making transfers and preparing the bookkeeping. Then this package is exactly right for you.
For the in-house IT contacts
You manage access, set the formats and coordinate when discrepancies arise. You benefit from the structure we create.
For owners and managers
You set the direction and decide on budgets and structures. You want your team to focus on the core business instead of losing time on paperwork.
The package at a glance
All amounts net, plus 19% VAT. This offer applies only to companies based in Germany. The price is fixed before the engagement, and so is the scope. There are no additional charges later. Duration: until handover on the completion date in your quote, then 180 days of support. The software licence is in your name and is not included in the fixed price.
Not every business needs the same thing. Adapt the package to your needs:
* The configurator makes requesting easier and is not a binding offer. The contract is concluded with a quote issued to you and the associated service agreement. The final quoted price takes into account the chosen software and the software landscape already in use in the business.
Terms and notes
You pay in instalments, each after sign-off of the relevant stage, and pay nothing before you have seen and signed off the result. The breakdown is stated in the quote. The five follow-up sessions come after the final sign-off and are therefore already paid for. We bill any add-ons you choose with the stage they belong to.
All prices net. We include the two add-ons above in the total price; we clarify everything else in the introductory call.

Common questions
ZUGFeRD is a standard for electronic invoices (e-invoices) in the B2B sector. Unlike a simple PDF file, ZUGFeRD ensures that the data within the invoice (such as amounts, tax rates or line items) is in a uniform structure.
This enables:
Automated processing: invoices can be transferred directly into ERP or accounting systems without manual retyping.
Fewer errors: because a fixed format is specified, transfer errors are minimised.
Efficiency: the entire invoice flow is accelerated and costs are reduced.
ZUGFeRD is a PDF with embedded invoice data: readable by people and by the recipient’s software – anyone can open the file, including private customers. XRechnung is a purely structured data record (XML) without a visual part; public-sector clients often require it. In our package, ZUGFeRD is the output format. We set up XRechnung for you if needed, for example if a client requires it.
Yes. The prices on our website are starting prices for the standard case. Based on your request, we first review what is already running in your business and what the project needs. You then receive a written quote with the scope, a fixed price and a completion date. We stick to it; there are no additional charges later. Payment is made in instalments, each after you have signed off a stage. We only offer E-Invoicing to companies based in Germany.
- The licence for the invoicing software: you conclude the contract directly with the provider.
- Day-to-day support and incident support: after the final sign-off and the five follow-up sessions, operation is in your hands; if you’d like further sessions beyond the follow-up sessions, we’re happy to offer you the Ongoing Support add-on, which you can book with us after this package.
- Tax assessment, all account coding and bookkeeping processes: these remain with you and your tax adviser. Within the scope of this offer, we take care of the technical configuration and support you with introducing and documenting your new processes in your business.
- Infrastructure: how your data is stored, backed up and transmitted is the responsibility of the provider of the software you choose.
No, we currently have no partnerships with software providers, and we don’t create accounts for you with the software providers of your choice. Our service relates purely to support with configuration and operational implementation at your premises (initial assessments, coordination with your team, training sessions and documentation in your operations manual).
No. We don’t see your figures. We don’t need access to bank details or real invoices – we configure and test exclusively with templates and test documents. If you’d like us to take over the configuration of your customer master data, it is backed up separately, used only for the set-up and deleted afterwards. The handover takes place before going live: you link the bank account and issue the first real invoice yourself after the handover, following our video guide.
No. The tax assessment and any kind of bookkeeping services remain with you and your tax adviser. We concentrate on the technical configuration of your new invoicing processes – format, ledger accounts, transfer route – and test the interface once together with you.
Of course. The E-Invoicing package ends with the fifth follow-up session after 180 days; after that, operation is in your hands. If you’d like further sessions with us after that, we’re happy to offer you our Ongoing Support add-on: €360 per month, cancellable monthly.
AI can pre-sort documents for you and read data from them. Some invoicing software already comes with such functions. In addition, individual work steps, for example upstream or downstream steps, can be configured individually. For this, take a look at our AI Workroom package and the Cloud-Free AI add-on.
