Train Your In-House IT Contact

We train an in-house IT contact for you for access, devices and software, whom your team will turn to in future.

For businesses that want to enable one person on their team permanently. One named person, one location, preparation phase plus six months.

Starting point

The problem

Many businesses have one: the person who knows their way around the computer set-up. They set up computers, explain the till system and find the file nobody can find any more. This usually happens alongside their actual work, on their own initiative and with what they have taught themselves.

What’s missing is the framework around it: a defined role, time and the support to expand their own knowledge step by step. Without this framework, workarounds often emerge that only one person understands, and when in doubt, things are left undone rather than someone doing something wrong.

In businesses where fixed support structures are lacking or still being built, the existing in-house IT contacts often work with the knowledge they have taught themselves.

And a lot stays in one person’s head instead of being on record in the business. If they are off for three weeks or leave the company, the structure your business depends on is left without an in-house IT contact.

Our solution

Beforehand, we talk for 15 to 30 minutes, by phone or video call. In this conversation, we clarify whether the package suits you: whether the basic structure is in place, whether you already have an in-house IT contact and what goals you are pursuing. This costs you nothing.

Once you’ve commissioned us, we start with a preparation phase by video call: a conversation with management and the named person, plus a review of the current state. From this, we create a role description with three levels: what the person should decide alone in future, what they coordinate and what they should not take on. At the same time, we define how you will see at the end that the role is established.

After that, we accompany your in-house IT contact for six months: one session a month at your business, side by side, on real tasks from your business. We maintain the operations manual together with your in-house IT contact from the start, so that they know their way around it from day one.

Finding 02 · Distinction

Knowing your way around doesn’t make you responsible.

Among companies with ten to 49 employees, 64 per cent made their employees aware of their obligations in IT security matters in 2024, for example through training or contractual provisions. What is surveyed is whether the company raises awareness, not whether a person has been named who decides on IT security.

WHAT IS SURVEYED IS AWARENESS, NOT RESPONSIBILITY
NAMED ROLE
  • Tasks assigned in writing
  • Decision-making authority defined
  • Cover arranged

The task is assigned to one person, its scope is recorded and it is clear who takes it over when they are absent.

WITHOUT A NAMED ROLE
  • knows their way around
  • does it on the side
  • knows whom to ask

Experience, helpfulness and habit are not an assigned task – they aren’t written down anywhere and end with the person.

Context

IT training tends to be the exception in German companies, and whether someone knows about something is a different question from whether someone is responsible. What needs to be settled in your business depends on your processes: who is already asked today, what this person may decide and where their task ends. We clarify that together with you in the introductory call.

Method and limitationsAbout the figures: European business statistics only record IT training from ten employees upwards. Germany reports no figures on this for smaller companies.

What to expect in our package

PROCESS · EIGHT STEPS

A conversation with management and the named person, plus a review of the current state, by video call. Beforehand, in 15 to 30 minutes and free of charge, we clarify whether the basic structure is in place, who the named person should be and how much time should be planned for the training.

What the person will decide alone in future, what they coordinate and what they should not take on. We define where the line lies using three questions: Can the decision be reversed? Does it trigger costs? Does it affect other people’s access? We give you our proposal; you then adopt the role on which the training is based.

In the preparation phase, we define with you how you will see at the end that the role is established, and which of the eight points are checked in your business and how.

One session a month at your business, side by side on real tasks from your business. At no extra charge within 100 kilometres of our base in Trier, which includes all of Luxembourg. For this, we need half a day of your in-house IT contact’s time per session.

Two phone calls to answer questions between sessions are included in the fixed-price package. We reply within two working days. If you need further interim sessions, let us know. We’re happy to make you an individual quote.

Your in-house IT contact builds your operations manual together with us and maintains it independently. That way we can make sure your in-house IT contact knows their way around the documentation from the start.

We define concrete criteria instead of a rigid curriculum and make sure in the training sessions that your in-house IT contact can navigate confidently through all of them: 01 Create and disable logins and find the emergency access. 02 Explain the filing system, assign permissions and find a missing file. 03 Maintain the operations manual and record changes. 04 Know the contracts and notice periods and be able to report different types of fault to providers. 05 Recognise when a hardware or software purchase is needed, and know what to watch out for when making enquiries. 06 Work with the AI tools that have been introduced and know the data rules. 07 Write down three procedures so that someone new can read and apply them. 08 Recognise where their own limits lie and who needs to be contacted in which case.

We check the agreed points and discuss the results with you and your in-house IT contact. Anything that isn’t yet reliably in place, we fine-tune in an additional session. One follow-up session is included in the price.

DOCUMENT AND TOOLS

Three levels of decision-making adopted for the role of the in-house IT contact. This gives you a fixed role that can be extended within the business or passed on to other people if needed.

Filing system, password management, devices, operations manual and provider portals. Where systems are set up, we continue working in them. This package brings no new software and triggers no new running costs. Your specialist firm remains responsible; we teach your in-house IT contact how to recognise when a case belongs there.

Is this package right for you?

  • For day-to-day work

Everything comes together with you: you ask when a login is missing or a device is playing up. After completion, you know whom to turn to and who gives a reliable answer.

  • For the in-house IT contact

You know the technology in your business and do a lot on the side. You get a clearly defined training: six sessions side by side and a target list against which you can check your level of knowledge.

  • For owners and managers

You set the course and adopt the role. You want decisions about access, devices and providers to land on your desk less often.

Common questions

With the ones you already have: filing system, password management, devices, operations manual and provider portals. Where systems are set up, we continue working in them. This package brings no new software and triggers no new running costs.

The basic structure: you hold your own logins, the filing system is configured and there is already an operations manual to which the most important processes can be added. Whether you set this up with our Cloud Groundwork package or arranged it yourself makes no difference to us. We’re happy to clarify the exact requirements for the training project in our free introductory call.

Yes. The prices on our website are starting prices for the standard case. Based on your request, we first review what is already running in your business and what the project needs. You then receive a written quote with the scope, a fixed price and a completion date. We stick to it; there are no additional charges later. Payment is made in instalments, each after you have signed off a stage.

The package brings no new software. A second person, a second location, a shortened re-run and an additional review round are add-ons.

Half a day per session, plus around two hours a month for carrying out the role. Six monthly sessions, so six half-days over six months.

Your role description sets that out: what the in-house IT contact decides alone, what they coordinate and what they don’t take on. We define where the line lies using three questions: Can the decision be reversed? Does it trigger costs? Does it affect other people’s access? We give you our recommendation; you adopt the role.

The six monthly sessions take place at your business, at no extra charge within 100 kilometres of our base in Trier: all of Luxembourg, from the Oesling to the Minett, and on the German side, among others, Schweich, Föhren, Wittlich, Saarburg, Bernkastel-Kues, Cochem, Koblenz and Kaiserslautern. The introductory call and the wrap-up call take place by video call, throughout Luxembourg and Germany. If you are outside the 100 kilometres and would still like the sessions on site, we’re happy to put a figure on the travel costs in the quote.

If your in-house IT contact is absent long-term during the six months or leaves the business, the programme is paused. What has been created up to that point stays with you: the adopted role description, the information in the operations manual and the documented procedures. A successor can read up on it and build on it instead of starting from scratch. For onboarding new in-house IT contacts, we offer the shortened re-run as an add-on.

We train your in-house IT contact for you and your business, but we don’t issue certificates. What you get is the adopted role description, a trained in-house IT contact and the checked target list with the status of each point.
