Businesses facing succession

You want to hand over or sell your business. Much of it only you know: which customer has which arrangement, where the contracts are, who has which login. We move this knowledge out of your head and into the business, making your company ready for succession.

Handover of a business: task list in a workshop
The succession process: complex, multi-layered and of central importance to your company.

Starting point

Your situation

You have successfully built up your company or run it for years. That gives you valuable but often invisible capital: you know every customer arrangement, know exactly where the contracts are and hold the login details for all accounts. The process knowledge is also in your head – about the best way to handle orders, the particularities of your products and the recipes for success that have matured over the years.

“We want to set up our filing system and access properly, once and for all.”

As long as you run the business, a lot works because you know it. But as soon as a change is due – whether through succession or a sale – this person-dependent structure becomes a risk. Anyone examining the business before buying it looks out for such dependencies; they can push the purchase price down. If a company’s knowledge exists only in its owners’ heads, that can reduce its market value.

The aim of an orderly succession is for the knowledge to move out of people’s heads into a usable form. The successor should be able to take over the business without starting from scratch – with all access in the company’s name, documented arrangements and specialist knowledge set down in writing.

What we do

We create the structure in which your knowledge arrives in the company. We configure and document what belongs to the digital foundation: accounts, access, the filing system and the responsibilities for them, plus your contracts with providers. For your processes, your expertise and your experience, we create the operations manual, give it an outline and show your team how to write in it. Your team can then use the new structures to record your know-how and your standards in a structured way.

This creates an operations manual that grows with the business and doesn’t end with a project. Your team and your successor find in it what they need for day-to-day work.

We don’t carry out the succession – you do. But we prepare your business for it. At a fixed price and with a clear schedule, we make your company ready for succession. If the successor has already been decided, we actively involve them in the process. If not, we make sure that all access, the operations manual and the emergency sheet are ready as soon as the change takes place.

Approach

Four stations, one goal.

01Introductory call15 to 30 minutes. You tell us what you’re planning and what you want to come out of it. We tell you which packages fit your goals.
02Fixed-price packagesAfter a first review, you receive a quote with the scope, a fixed price and a completion date. We stick to it. Your business carries on as normal in the meantime.
03HandoverAccess, operations manual and emergency sheet belong to your company. We walk one person on your team through every step.
04Your own courseOnce everything is part of the daily routine, you can switch to one session per quarter. How long we support you is up to you.
Your benefits

Tested, documented and in your hands

Document 01Access owned by the companyYour data, your domains, your contracts: everything is in your company’s name, so that you keep full control at all times.
Document 02Thoroughly tested and stableBefore the handover, we test thoroughly and fine-tune in the follow-up sessions so that you can work with the new system straight after the project ends.
Document 03The knowledge in the operations manualEverything we set up is in it; for your own processes it has the outline, and your team knows how to add to it. That way your successor can always look up the standards.

Common questions

Early enough for the package to be completed before the target date. For Cloud Groundwork, allow a few weeks depending on the scope; for training an in-house IT contact, the preparation phase plus six months. Both together fit comfortably into a year. If the target date hasn’t been set yet, that’s no obstacle: in the introductory call, we count back with you from the date you have in mind and tell you what can realistically be in place by then.

Cloud Groundwork starts at €4,900 net, training an in-house IT contact at €6,240 net. Based on your request, we first review what is already running in your business and what the project needs. You then receive a written quote with the scope, a fixed price and a completion date; there are no additional charges later. Add-ons are listed individually and are only added if you choose them. Payment is made in instalments, each after you have signed off a stage.

No. Everything we set up is in your business’s name and not in a person’s: access, accounts, operations manual and emergency sheet. If your successor has already been decided, we involve them in the sessions from the start so that they know the structure before they take it over. If not, everything is ready on the target date, and the next management finds a business it can understand from the documents. For buyers, too, that is an argument that can be verified.

Less than you probably expect. Down to you are the introductory call, half a day for the on-site review, one training session for management and the decisions we present to you with their costs and consequences. We handle set-up, migration and testing together with the person you name from your team. Your business carries on as normal in the meantime; the existing way stays open until the new one is in place.

Through your team, with a structure from our packages. With Cloud Groundwork, we create the operations manual and document everything we set up in it: every account, every contract, every setting, who has access to what. In the in-house IT contact training, the named person learns to write down procedures from your business so that someone new can read and apply them. You and your team then record everything else from your know-how in this structure yourselves.

Yes, if they already work in the business. The Train Your In-House IT Contact package lasts the preparation phase plus six months, with one session a month on site at your business. For a succession, this is often the best route: your successor learns the structure while you’re still there, and practises writing procedures from the business into the operations manual themselves. A second person can be trained alongside as a deputy.

No. Accounts, licences and contracts are in your business’s name, not ours; the operations manual and emergency sheet stay with you. After the handover, we’re there for you with follow-up sessions. Whether things continue after that is up to the next management: Ongoing Support is cancellable monthly and can pass on with the business. Once everything is part of the daily routine, you can switch to one session per quarter.
