Cloud Groundwork
Cloud migration with a clear folder structure, role-based permissions, password manager and operations manual.
For established businesses whose filing system and access have grown over the years.
Starting point
The problem
Your business is running, perhaps for many years now. The structure behind it has grown along with it: a server that was added at some point, an external hard drive for what no longer fitted on it, plus files on individual computers. Access has also built up over the years, often via a single address, and some passwords are in the browser, some on a note.
That works day to day and has brought your business this far. It’s just hard to say today where the current version of a file is, who has access to what and how to get back to last week’s version. And if the person who knows the most is away for two weeks, the rest of the team should be able to find all the important files. At some point, searching, coordinating and maintaining take more time than switching over.
Our solution
We start with a structure review. We spend half a day on site looking at what is there: where files are stored, which access exists, who works with what. Once you commission us, your fixed price is set.
Based on the structure review, we build the new structure: company accounts with two-factor authentication, a filing system with clear naming conventions, permissions by role rather than by person. Then we migrate your data from up to two sources to the new filing system and set up recovery for you.
Your existing files come along in full, in a dated archive folder; nothing is lost and nothing is silently changed. Together we bring to the front what you need every day: ongoing projects, active customers, templates.

The facts
What percentage of companies with 10 to 49 employees used authentication with at least two factors in 2024, such as a password plus a one-time code?
In 2024, 40 per cent of small companies used
authentication with at least two factors.
Share of companies with 10 to 49 employees in Germany that used authentication with at least two factors in 2024, such as a password, one-time code, code via token or smartphone, or a biometric method. Method and limitations
Population: companies with 10 to 49 employees in Germany, excluding agriculture and forestry, fishing, mining and the financial sector · sample size for this size class not reportedA storage location alone is not order.
Cloud services are widespread: 51 per cent of companies with 10 to 49 employees used paid cloud services in 2025, 71 per cent of them for data storage. Regulated access does not follow automatically: in 2024, two thirds of companies with 10 to 49 employees controlled which people and devices access the company network.
10 TO 49 EMPLOYEES · 2024ONE THIRD REPORTS NO ACCESS CONTROL
- Access by role
- Rules in writing
- Recovery tested
Data handled in a regulated, regularly reviewed and demonstrable way, based on Art. 32(1)(b) to (d) and Art. 5(2) GDPR.
- Storage location alone
- Folders without rules
- One password for all
A storage location without regulated access. The GDPR requires appropriate measures for personal data and proof of them; it does not prescribe a particular storage location.
Cloud shares: Statistisches Bundesamt, press release no. 416 of 24 November 2025 and table “Nutzung von Cloud Computing nach Beschäftigtengrößenklassen”, as of 24 November 2025, companies with 10 to 49 employees (storage: share of companies with paid cloud services) · Distinction based on Art. 32(1)(b) to (d) and Art. 5(2) GDPR
What needs to be done in your business depends on your processes: who processes which data, who needs access to what, what happens when someone leaves the team, and how you can prove it if in doubt. We clarify that together in the structure review.
Method and limitations
About the figures: the official survey covers companies with ten or more employees. Member states report the size class of up to nine employees voluntarily; Germany reported it for 2024 but does not report the sample size for this class separately. There are no official figures on cloud use for companies with fewer than ten employees. What to expect in our package
We spend half a day on site looking at what is there: where files are stored, which access exists, who works with what. This gives you your fixed price and the order of the next steps. €450, credited as soon as you commission the complete package.
At the start, you name one person from your team. We involve them in every step and build the structure so that no prior knowledge is needed.
We configure your new accounts for cloud, collaboration and the password manager. Every account gets two-factor authentication.
A folder structure with clear naming conventions and role-based permissions. Files are where you look for them; AI tools will later find their way around it too.
We transfer your data from two sources to the new filing system, for example from a server and an external hard drive, and keep your folder structure in the process.
Your existing files come along in full, in a dated archive folder. We reorganise and rename the top level. Within half a day, we bring to the front what you need every day. You decide what that is.
We set up recovery for your filing system and run a restore once with you. You can then retrieve deleted files and earlier versions yourself. You can book a second, independent backup with another provider as an add-on.
Everything we configure for you, we summarise for you in one document: every account, every contract, every setting, who has access to what. That way your structure exists on paper and not just in one person’s head. If your in-house IT contact is unavailable, the rest of the team will find in it what they need to keep working.
Two training sessions, one for management and one for the team. Then we stay on for 90 days: three follow-up sessions, at no extra charge. We set the dates at sign-off, usually one per month.
The most important information from the operations manual on one A4 page: accounts, access, responsibilities. The document stays with you.
We choose the right solutions for cloud storage, filing, password management and collaboration together with you. The licences and contracts then run directly through your company. If you have special requirements, let us know; we’re happy to prepare an individual quote for you.
Is this package right for you?
For owners and managers
You set the course and decide on structures. You want the business to keep working even when the person who knows the most is away for two weeks.
For the in-house IT contact
You assign access, set up devices and get asked when something is missing. You take over the new structure and keep running it after the handover.
For day-to-day work
Everything comes together with you: you file documents, look for earlier versions and know where everything is. After the switch, it is where you look for it.
The package at a glance
All amounts net, plus 19% VAT. The standard fixed price applies to established businesses with up to ten people, ten devices and one location, and covers the migration of two data sources. Licences and contracts are in your company’s name; the licence costs continue with the provider and are not included in the fixed price. We calculate what to expect in the structure review.
Not every business needs the same thing. Adapt the package to your needs:
* The configurator makes requesting easier and is not a binding offer. The contract is concluded with a quote issued to you and the associated service agreement. The final quoted price takes into account the chosen software and the software landscape already in use in the business.
Terms and notes
If your current set-up is more extensive than the standard case, we calculate an individual quote for you. Whether that applies is something we clarify with you in the structure review.
All prices net. We include E1 to E4 in the total price. We add the three items under “In the quote” to your request and put a figure on them before you decide.

Common questions
We choose the right solutions for cloud storage, filing, password management and collaboration together with you. The licences and contracts then run directly through your company. If you have special requirements, let us know; we’re happy to prepare an individual quote for you.
Some tools store everything in the EU; with some tools, your data leaves the EU, partly during transmission or also in storage. This often depends on the chosen plans and settings. We discuss with you what applies to your selection and write it into the operations manual.
Yes. The prices on our website are starting prices for the standard case. Based on your request, we first review what is already running in your business and what the project needs. You then receive a written quote with the scope, a fixed price and a completion date. We stick to it; there are no additional charges later. Payment is made in instalments, each after you have signed off a stage.
You conclude licences and contracts directly with the providers; the costs continue monthly or annually and are not included in the fixed price. We leave email and domain as they are. A second, independent backup with another provider is an add-on. And anything beyond the starting structure – a re-sorted archive – is added as “Restructuring existing files”.
No, we currently have no partnerships with software providers, and we don’t create accounts for you with the software providers of your choice. Our service relates purely to support with configuration and operational implementation at your premises (initial assessments, coordination with your team, training sessions and documentation in your operations manual).
They come along in full, in a dated archive folder. Nothing is lost and nothing is silently changed. In half a day, we bring to the front what you need every day: ongoing projects, active customers, templates. You decide what that is.
The package ends with the third follow-up session after 90 days; after that, your in-house IT contact runs the structure. If you’d like support with that, you’re welcome to add the “Radio link · Structure” add-on, the maintenance of your structure: €149 per quarter, one remote session per quarter, an annual permissions review and restore test, operations manual kept up to date. Starting after the last follow-up session, cancellable at the end of the quarter.
The person you name at the start. They are involved in every step, and we build the structure so that the role can be carried out without prior knowledge. Everything that has been set up is in the operations manual, and the most important information is also on an emergency sheet for management.
